Personal Assistant to CEO

Be part of our mission to disrupt the healthcare and democratize the data driven medicine! SOPHiA is looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to manager’s working life and communication.
 
The Personal Assistant is in charge of the following:
 
Calendar management - independently schedule all meetings and organise necessary arrangements (phone numbers, conference calls, meeting rooms booking and set-up, etc.)
Travel arrangements - book and coordinate CEO trips
Board meeting and Board committees: schedule and organise logistics
Executive Team Meetings: schedule and organise logistics. Collect and assemble PowerPoint presentations ahead of the meeting
Support to Executive Team - upon request, support Executive Team with meeting scheduling or as relevant
Adminisitrative support to CEO Office - Expenses management, mail, filing, invoices
Event coordination - upon request be part of the event team
 
Responsibilities
 
Act as the point of contact between the CEO and internal/external clients
Handle requests and queries appropriately
Manage diary and schedule meetings and appointments
Make travel arrangements
 
Requirements
 
Proven work experience as a Personal Assistant min 3 years
MS Office
English proficiency (C1 minimum)
Outstanding organisational and time management skills
Ability to multitask and prioritize daily workload
Excellent verbal and written communications skills
Discretion and confidentiality
