Order Management Specialist

As Order Management Specialist you will oversee and manage key parts of the order-to-cash cycle, including order processing, license key provisioning, and contract management. Specifically, you will have a focus on renewing contracts.

In this role you will be responsible for reviewing and validating order forms for commercial software licensing agreements, as well as data captured within our CRM system. You will also ensure that completed orders are filed for subsequent revenue accounting, invoicing and provisioning. Working cross-functionally with the Sales, Sales Operations, Legal and Finance teams, you will coordinate the resolution of discrepancies and support the post-sale management of contracts and oversight of contractual rights and obligations. You are a part of the Business Operations team and will work closely with your contract management specialist peers based in Zurich and Warsaw. 

A successful candidate thrives in a team environment, while being resourceful, independent and a self-starter who is able to work effectively with minimal supervision. A diligent attitude and attention to detail is a prerequisite for this role.

 

What You Will Do

  • Accurately record details of commercial contracts and ensure alignment with company policy with a strong focus on renewing contracts
  • Partner with Business and Sales Operations, Finance and Legal to confirm, flag and record contractual obligations that influence revenue recognition and risk
  • Examine renewal contracts to ensure they align to the company standards
  • Execute orders by establishing license keys for new and existing customers, ensuring conformity with the contracted license scope 
  • Coordinate solution of licensing and account issues and communicate with customers
  • Monitor expiration of subscriptions and manage the offboarding process
  • Consistently organize subscriptions, customer accounts and license keys to allow accurate usage monitoring
  • Ensure end-to-end data integrity throughout the order-to-cash process
  • Continually support process improvements and documentation to increase accuracy, transparency, and timeliness

Who You Are

  • High-school diploma combined with apprenticeship or similar such as college degree. 
  • Min. 6+ years of working in an office environment whereof 3+ years in a comparable role.
  • Highly organized, diligent, detail-oriented, structured
  • Able to comprehend and extract information from legal texts
  • Productive communication via email, chat and video call with internal stakeholders and customers based in different locations 
  • Sense of urgency and when to escalate 
  • High degree of flexibility in handling new assignments and the ability to adapt to change in the work environment
  • Preferably prior experience with software subscriptions and customer support interactions
  • Strong English language skills; written and spoken communication will be English
  • Compensation: subject to level of experience
