Sr. Sales Coordinator

SOPHiA is looking for a Senior Sales Coordinator to join the sales team based in Sao Paulo, Brazil.Reporting to the Sr. Director of Sales (LATAM), the Sr. Sales Coordinator is responsible to ensure smooth running of SOPHiA Genetics’ sales operation in Brazil.This is an energetic position for a professional who doesn't mind wearing multiple hats. The Sr. Sales Coordinator will be handling a wide range of administrative and executive support related tasks to support the needs of a team of Sales Managers in Brazil. She/He should be well organized, flexible and enjoy the challenges of supporting an fast growing sales operation. This is a strategic role that requires a combination of focus and flexibility, as well as a willingness to play an active, behind-the-scenes role.The Sales Operation Specialist will work closely with headquarter teams from Logistics, Finance, Sales Operations, Marketing, Administration, IT and Human Resources based in Switzerland and the United States.Key responsibilities:As a Sr. Sales Coordinator for Brazil your responsibilities are (but not limited to):    Monitor the team’s progress in sales targets, identify shortcomings and propose improvements to sales operation teams    Support all sales efforts by managing schedules, filing important documents and communicating relevant information    Ensure the adequacy of sales-related equipment or material    Respond to inquiries or complaints from customers and give after-sales support when requested. Inform customers directly of unforeseen delays or problems    Support the headquarter marketing teams in planning in-house or off-site activities, celebrations and conferences such as workshops or congresses.    Maintain constant routine contact with Sales ManagersLogistic operations    Maintain frequent communication between our customers’ supply chain/purchasing departments and headquarters supply chain teams    Receive orders through the internal company system and review information is compliant with internal purchasing requirements    If necessary, support in the tracking and recovery of shipments    When requested by the Supply Chain team, support in preparation of documents and forms to move goods efficiently through import and export steps and procedures    Review paperwork and documents to ensure shipping, handling, storage charges, and customs fees are billed correctly    Support customers and the logistic team in the processes claims on merchandise shortages and overagesFinance operations:    Frequent communication between customer’s finance departments, headquarters finance/accounting teams and local accounting firm    Along with the finance team, check customer usage and ensure correlation and correct invoicing from headquarters to the local entity    Check regulary all invoicing generated by local finance partner and suggest corrections if necessary after discussion with sales team    Implement procedures and monitor follow up on payment due    Facilitate and assist with adherence to local statutory compliance requirements, including vendor and employee tax withholdings, annual tax filings, etc.Public tender operations:    Continuously monitor, verify and inform the sales team on local public biddings notices    Work closely with the sales support tender teams in headquarters to ensure company consistency on public bidding    Full ownership and support of all bidding processes through authorized local platforms    Keep registers and documentation up to date on different platformsRequirements    Professional Degree on Business Administration, information management, or foreign equivalent    3-5 years of experience in an administrative/financial position ideally within the Life Science, Diagnostic or Medtech industry    Excellent knowledge of finance, accounting procedures, shipping regulations and policies in Life Science, Diagnostic or Medtech industry for Brazil    Proficient user of MS Office products, strong Excel and PowerPoint skills    Excellent organizational skills and attention to detail.    Multi-lingual capabilities: Portuguese, English mandatory (additional languages desirable)    Ability to work independently and in a team environment    Diplomatic, forward-thinking, and the ability to work under tight deadlines and extra hours if needed on assignmentsBenefits    A competitive compensation package    A flexible and friendly working environment with a collaborative atmosphere    An exciting company mission that brings together science and technology to directly impact the lives of patients with a life-threatening illnesses.    A fast-growing company with plenty of opportunity for personal growth and development    International and multicultural environment    Permanent exchanges with teams of experts within the company (AI, genomics, medicine, etc.)    Flexible hours, home officeStart: ASAP (or as agreed)Contract type: PermanentLocation: SaoBrazil Paulo,Application processIf you think you fit this position, please send a CV and a cover letter.
