Medimaps Group is the world’s leading company designing, developing and commercializing AI powered medical imaging software for assessing bone health and improving fracture risk detection. Headquartered in Plan-les -Ouates, Geneva, Switzerland, with bases in the US and France, we currently total 50+ people and are still growing.

 

If you would like to be part of the medimaps journey in helping democratize data drive medicine, we are currently looking to fill the newly created role of Executive Assistant to the CEO.

 

EXECUTIVE ASSISTANT

 

Providing comprehensive administrative support to our CEO, the Executive Assistant will manage a wide variety of complex and highly confidential tasks. This position serves as the first point of contact to the CEO office and as such you will be required to collaborate and communicate across the entire organisation up to Executive and Board level. Excellent verbal, written and organizational skills, along with tact, poise and strong people skills are therefore essential. A strong customer focus, a proactive attitude, and the ability to prioritize a demanding workload while maintaining a sense of humour and emotional intelligence will be key to ensuring your success in this role.

 

IMPORTANT: Only candidates with a strong background in providing business and administrative support to a CEO or at C-Suite level should apply.

 

Key Responsibilities:

 

  • Serve as effective gatekeeper to the CEO, providing focus and support, handling all information and providing updates and reminders to keep the CEO on schedule
  • Liaise with stakeholders at all levels on behalf of the CEO (employees, board members, investors etc.)
  • Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO, including those of a highly confidential or critical nature
  • Preparing correspondence on the CEO's behalf - writing emails, memos and other correspondence; creating presentations as needed
  • Document critical information, taking clear meeting notes and disseminating as required
  • Problem-solve, fielding questions, resolving problems, and proactively escalating to appropriate stakeholders to resolve
  • Board meetings: Coordinating all board meeting logistics; minute taking and following up on action items; travel to board and investor meetings, if required
  • Respond to calls and manage emails on behalf of the CEO
  • Managing the CEO’s expense reports and budget
  • Make judgments and recommendations to ensure the smooth management of the CEO’s day-to-day engagements
  • Complete a broad variety of administrative tasks that facilitate the CEO's ability to effectively lead the organization.
  • Manage and co-ordinate the CEO's calendar, arranging meetings and scheduling appointments
  • Schedule and project manage complex activities such as travel arrangements, conferences, meetings, company-wide events and other activities

 

SKILLSET Required :

  • Minimum 8 years experience providing administrative and business support in a busy and demanding environment, ideally in high tech or healthcare
  • Minimum of 3-5 years of experience assisting a C-Level
  • High level of organization and attention to detail
  • Ability to multitask and prioritize multiple projects
  • Strong project management, ability to see things through from start to finish
  • Excellent time management skills and ability to meet tight deadlines
  • Ability to maintain highly confidential information
  • Excellent working knowledge of the MS Office Suite (Word, PowerPoint, Excel, Outlook, MS Sharepoint etc.) and quick to learn new tech tools.
  • High level of professionalism, tact and discretion
  • Ability to maintain calm in stressful situations
  • Ability to problem solve effectively and creatively with a can-do attitude
  • High degree of adaptability and willingness to pivot when needed
  • Ability to take initiative and foresee obstacles
  • Self-Starter, proactive and team worker
  • Strong Communication Skills
  • Excellent interpersonal skills. You listen actively, speak and write clearly to communicate ideas, and can influence at all levels.
  • Demonstrated ability to succeed and thrive in a high growth, fast-paced environment.
  • Flexibility to be available after hours and accommodate CEO's schedule, if ever needed
  • World-class level of values in relation to integrity & ethics, commitment to quality, teamwork, and results orientation.
  • An interest in healthcare, with industry experience a plus
  • Languages: Excellent level of English (written and oral) with very good business level French, ideally bilingual ENG/FR. Additional languages a plus.
  • Qualifications: Degree in a relevant business discipline is preferred. Although candidates with sufficient years of experience are welcome and encouraged to apply, preference will be given to those with high level education. Masters or MBA a very strong plus.

Contract type: Permanent full-time, to start ideally ASAP, or as agreed.
